Second UGO Meetup: OWIS as a Client Portal, from Workspaces to Automation
On September 17, we held our second UGO Meetup in Sarajevo, bringing together OWIS users. This time, we met at Motiff Coworking Space to demonstrate how OWIS can connect internal business processes with clients and external partners.
Mirza Pećanac, Technical Lead at OWIS, and Lejla Trnčić, Junior Software Developer, showed how existing OWIS workspaces can serve as a client portal, covering everything from data entry and document submission to request processing and the automation of subsequent steps.
The focus was on a specific business challenge: how to organize data exchange with partners when information arrives in different formats, requests for additional information are handled by email, and employees manually copy data from attachments into the system.
How Does a Workspace Become a Client Portal?
OWIS workspaces were originally designed to give internal users a single place to view data from related processes and carry out the actions they need.
The same principle can be applied to collaboration with external users. Clients or partners get access to their own workspace, where they can enter the required information, submit documents, and review their requests.
At the meetup, we showed how this type of portal can be set up by configuring existing OWIS features, without additional development. Content and available actions are tailored to the specific process, with defined data access permissions.
Live Demonstration: from Login to Request Processing
Working directly in OWIS, Mirza and Lejla demonstrated the entire process from the perspective of both the client and the employee handling the submitted information.
The example involved a monthly requirement to submit basic company information. The demonstration covered logging into the portal, accessing the workspace, completing a form, and uploading an attachment.
They then showed what happens when a request reaches OWIS: how an employee picks it up, reviews it, and, when necessary, returns it for additional information. They also demonstrated how updated data appears in the system and how notifications support the process.
Participants could see how an exchange that would normally involve multiple messages and manual steps can be organized within a single process, with visibility into submitted information and subsequent changes.
How Are the Portal and Automation Connected?
We also dedicated part of the presentation to portal configuration. We showed how elements such as tables, forms, and buttons connect to automated workflows that determine which data a user sees and what happens after a particular action.
We also discussed external user access and data separation, ensuring that each partner can only view the content intended for them.
Although the demonstration focused on monthly data submissions, the same approach can be applied to exchanging reports, requests, invoices, and other documents with clients and partners.
